Capture: The first step is to capture all your tasks, ideas, and commitments into a trusted system. This could be a physical notebook or a digital app (notion). By capturing everything, you free your mind from the burden of trying to remember it all – the mind is for generating ideas, not to store them.
Clarify: After capturing everything, you must clarify what each of these items means and what action is required. If it is actionable, decide what specific action needs to be taken and schedule that. If not, determine whether it can be delegated, deferred, or deleted.
Organize: Organize the actionable tasks identified above into categories and prioritize them based on their importance and urgency. Break down larger goals into smaller, actionable tasks, which is more manageable.
Reflect: Review your lists and action plans atleast weekly, if not daily, to ensure that nothing is missed. Reflect on your goals and priorities to make sure you stay focused on what truly matters. If the circumstances changes or new information comes along, adjust your plans accordingly
Engage: Once you have identified,clarified and organisedthe tasks, engage and take action. Use the system to guide your daily actions, tackle tasks one at a time and making progress towards your goals.
